Businesses that undergo a successful digital transformation find it has a direct impact on financial performance, efficiency, revenue growth, customer satisfaction, and employee engagement. However, because no two transformations are alike, many businesses today are unsure where to start theirs or how to ensure they do it right. Enter Monstarlab, the global digital consultancy with the mission to help companies unlock value from their digital transformation journeys.

To deliver end-to-end digital transformation for its customers, Monstarlab offers a range of services, from building applications that enable mobile workforces to strategic consultancy for businesses looking to make the most of the data they already have. To bring all this to life, Monstarlab has specific working practices and processes in place that unite consultants and engineers across its 25 global offices to consistently deliver projects for companies of all sizes and in all industries, from life sciences to banking.

Underlying all of these practices is Google Workspace, which Monstarlab has used since 2006, the same year the company was originally founded by a small team in Tokyo. Today, Monstarlab employs 1,200 people worldwide, and Google Workspace continues to play a key role in uniting them with the purpose to “empower talent everywhere” while ensuring the company has the appropriate processes in place to solve the new challenges and demands of its customers.

Attracting fresh talent while making remote onboarding a breeze

Since its inception, Monstarlab has expanded both organically and through acquisitions, seeing its global teams rapidly grow as the company continues to bring different brands under its roof. As Monstarlab grows, it relies on Google Workspace tools to keep its workforce grounded in the company’s mission and quickly onboard new employees. Google Forms is often the first touchpoint for new hires, who receive questionnaires in order to capture key information about them for the company, which are then used to generate credentials for a new starter’s Google Workspace account.

Meanwhile, employee handbooks and information on the company’s processes, such as the company’s diversity and inclusion policy, are hosted on Google Docs. “With the customizable file sharing policies of Google Workspace, we can share documents and policies with new starters even if they don’t yet have a Google account. This enables us to start conversations with people even before they formally start working at Monstarlab, so they’re ready to go as soon as they join,” says Hádl.

Both current employees and new starters rely on Google Workspace template functions to ensure that all of their communication initiatives are consistently on-brand. Monstarlab has a wide range of defined templates on a shared Google Drive for Google Sheets and Google Slides that team members can easily access from anywhere and customize to the Monstarlab guidelines.

“When we are pitching to a potential client, for example, we can draw on our own templates in Google Slides and easily pick out whatever case study we need for a particular presentation,” Hádl explains. “This could be different slides for models, text, images, or anything else that is required, all while ensuring that Monstarlab’s visual identity and approach is consistent around the world.”

Google Workspace has also helped the company attract talent, thanks to the way it supports the firm’s open, agile workstyle. “We believe in open communication and autonomy,” Hadi explains. “Google Workspace simplifies everyday work with tools that are quick to set up, simple to use, and have the security protections that Google itself uses every day.”

Enabling a global rebrand with just a few clicks

As Monstarlab acquired more brands, such as New York-based mobile developer Fuzz Productions and European app development agency Nodes, the firm decided to unite all of its brands under the name Monstarlab. This led to a complete global rebrand in 2020, which encompassed everything from the brand’s visual identity to its service delivery practices.

“As we are continually growing through mergers and acquisitions, coordinating a global rebrand was a long and complex process, taking around a year and a half,” says Hádl. “We created an international team of 40 people from all kinds of roles, from junior engineers to C-level executives, who came together to understand what defines our values and make us unique. Based on those insights, we built a new visual identity for Monstarlab grounded in our core business values.”

Throughout this process, Monstarlab relied on Google Workspace to plan, coordinate, and bring employees around the world on board with the results of its rebrand project. As it sought to build a new brand identity, interviews were conducted via Google Meet, stakeholder responses stored in Google Sheets or Google Docs, and new CVI iterations were produced and presented in Google Slides.

To integrate new team members from acquired businesses, Monstarlab leveraged Google Workspace to house multiple domains from other organizations under its parent account. This way, it could migrate existing data and assets from acquired companies into Google Workspace to facilitate the integration process of new team members. “A merger isn’t a one-day activity; it can take a year or two to fully integrate a company,” Hádl says. “But Google Workspace enables us to add up to 600 domains to our organization’s account, each with its own set of users, and still enable them to collaborate internally. Once we’re ready to relaunch an acquired company as part of the Monstarlab brand, we easily switch their domains and swap over our brand templates with a few clicks.”

Removing language barriers to bring a global workforce closer together

Half of Monstarlab’s workforce are engineers, and wanted to further explore the capabilities of the tools they use on a daily basis to work together. After going “deep into the documentation” of Google Workspace, they discovered some effective integrations to aid their internal processes. “Our creative teams rely heavily on our shared Google Drive, so we connect it with other tools used internally, such as Slack, to enable more avenues for direct internal messaging,” Hádl says. “This way, we can easily share work into a channel, get rapid feedback, and iterate with a new version on Google Workspace and go forward from there.”

As a borderless organization with talent from all over the world, Monstarlab integrates Google Translate functions to Google Docs and Google Sheets to further support real-time global collaboration and empower employees to work in their native languages. “At any given time, we could have teams in New York, Prague, and Tokyo all working together,” Hádl explains. “Being able to connect Google Workspace with Google Translate helps us to empower team members by removing language barriers between them, which is really important because we want to engage as wide a range of people as possible to deliver innovative solutions for our customers.”

Monstarlab’s customers also benefit from its agile, collaborative approach to digital transformation projects. “We collaborate with our customers in a similar way to how we work internally,” says Hádl. “Using Google Docs or Google Sheets helps us get instant feedback from them and understand their thinking and needs in real time. All of our meetings with customers, from daily standups to weekly synchronizations, are arranged with Google Calendar and held via Google Meet, which are easy to use even for customers who do not yet own Google accounts. In fact, we often hear that they would prefer to have this set of collaboration tools in their own companies, if they could.”

As Monstarlab continues to grow, it aims to continually improve both its brand presence and its processes in order to help more customers around the world to succeed in their digital transformation initiatives. “As a technology company, we know that digital transformation is an ongoing journey. There isn’t a point you reach and you’re suddenly done,” says Hádl. “To continue to support our customers in their own journeys, we want to improve constantly. Google Workspace makes it possible for us to do that, be agile, collaborate, and follow our values. I can’t imagine bringing our services to life without it.”
